Keeping Field Technicians Working Instead of Driving

Any business running technicians in the field eventually confronts the same arithmetic. A technician who drives across town to collect a part has spent an hour and a half not fixing anything, and the customer who was waiting has been rescheduled. Repeat that a few times a week and the cost is substantial.

The alternative is moving the part to the technician rather than the technician to the part, and it is usually considerably cheaper than it looks.

Price the technician's hour properly. Not their wage. Their charge-out rate, because that is the revenue not earned while they are driving. Once that number is in front of you, the comparison with a courier charge is generally decisive.

Count the second job. A technician collecting a part does not just lose the travel time. They frequently lose the next appointment too, which means a rescheduled customer, an administrative cost and a job completed a day later than it should have been.

First-time fix rate is the metric that matters. Every industry measure of field service efficiency comes back to the proportion of jobs completed on the first visit. Parts availability is the largest single determinant of that number, and delivery speed is the lever you can pull without increasing van stock.

Van stock has a ceiling. Carrying more parts improves the fix rate up to a point, then becomes expensive, hard to manage and prone to obsolescence. Same-day delivery covers the long tail that van stock cannot economically hold.

Deliver to the job, not the depot. A part sent to the office is a part the technician still has to collect. Delivering directly to the site, or to an agreed meeting point near it, is what actually saves the time.

Site addresses need care. Residential jobs, construction sites and rural properties all present the same problems they present for any delivery, with the added constraint that the technician is waiting. A direct phone number for the technician on the job solves most of it.

Build the process, not the exception. If every urgent part requires someone to improvise, it will be inconsistent and slow. A standing arrangement with your supplier and your courier, with known cut-offs and a known booking method, turns it into a five-minute task.

Track how often it happens and why. Persistent urgent requests for the same component indicate a stocking problem that is cheaper to fix than to keep couriering around.

Tell the customer. A customer who knows the part is arriving this afternoon and the job will be finished today is a satisfied customer. The same customer left to assume a return visit next week is not, even if the outcome turns out to be identical.

For most field service operations, having a same day courier nz account already set up, with your suppliers' addresses and your technicians' contact details loaded, is the difference between a thirty-minute delay and a lost afternoon.

The underlying principle is simple enough. Technicians are expensive and parts are light. Move the cheap thing.
